What to Look for in a 3PL Warehouse in Canada Before You Sign Anything
Most businesses pick a 3PL on price alone and wish they had looked deeper within 90 days. Here is what actually matters.

Managing your own warehouse in Canada is capital-intensive and complex. Here's what a 3PL partner actually delivers.
Third-party logistics, or 3PL, is a business model where a company outsources its warehousing, fulfillment, and distribution operations to a specialized provider. In Canada, the 3PL model has grown steadily as businesses face rising real estate costs, labour shortages, and the need to reach customers across a vast geography. Rather than owning or leasing a warehouse and staffing it year-round, a Canadian business working with a 3PL pays for the space and services it actually uses, month by month, order by order.
Operating your own warehouse in the Greater Toronto Area is not cheap. A 10,000 sq ft facility at current GTA lease rates of $15 to $18 per square foot costs $150,000 to $180,000 per year in rent alone, before you factor in two or three full-time warehouse employees at $45,000 to $55,000 each, forklift leases, racking systems, insurance, utilities, and software. Most Canadian businesses in the $3M to $15M revenue range are looking at $300,000 to $500,000 per year in fixed warehouse overhead. That cost exists whether you ship 100 orders a month or 10,000.
A 3PL replaces that fixed structure with a variable one. In a slow month, your cost drops. In peak periods like Q4, the 3PL scales capacity without you hiring temporary staff or renegotiating a lease. For most Canadian businesses below the threshold of 500+ daily outbound orders, the variable model is almost always more cost-effective in total when you account for the months of underutilization in a self-operated facility.
Not all 3PLs offer the same scope. A complete Canadian 3PL partner should provide inbound receiving, where your supplier shipments are counted, verified against purchase orders, and booked into inventory at the SKU level. It should include organized storage in bin locations tracked by a warehouse management system (WMS), pick and pack operations for both B2B retail orders and direct-to-consumer (DTC) parcel orders, and returns processing with clear disposition logic. Most importantly, your 3PL should give you real-time visibility into your inventory without requiring a phone call. W Group's online client portal provides exactly this: live inventory levels, inbound receipt status, outbound order tracking, and return dispositions, accessible from any browser or device.
The physical location of your 3PL partner is a strategic decision, not a minor logistics detail. W Group's facility at 501 Applewood Crescent, Concord, Ontario sits at the interchange of Highway 400 and Highway 407, the most connected freight point in the GTA north of Toronto. Highway 400 connects south to the Toronto core and north toward Barrie. Highway 407 runs east-west across the top of the GTA without the congestion of Highway 401, linking Brampton and Mississauga in the west to Pickering and Whitby in the east. From Concord, a carrier can reach any GTA delivery point within 60 to 90 minutes at off-peak hours. For national distribution, outbound trucks can connect to the 401 west toward London and Windsor, or east toward Kingston and Montréal, without backtracking through the city core.
Switching to a 3PL does not need to be a multi-month project. W Group's onboarding process starts with a single discovery call to understand your SKU count, monthly inbound volume in pallets or cases, outbound order profile (pallet orders, case orders, or individual parcels), and any special handling requirements. From that call, W Group prepares a rate structure and service agreement. Once signed, the setup process, SKU file build in the WMS, client portal configuration, supplier ASN procedures, and a first receiving test, takes 5 to 10 business days. Most clients are fully operational within two weeks of first contact. To get started, email canada@wlog-group.com or call +1 (514) 225-2262.
